Scope of Position

Reporting to the Corporate Director of People & Culture, it is the mission and intent of this position will take responsibility for all aspects of the corporate office in HK, from daily office operations, event management, colleague wellbeing, office security & maintenance, and support full spectrum of People & Culture (P&C) services. The successful candidate will be a key facilitator for colleague engagement and colleague wellbeing and an ambassador of our MOHG culture and winning behaviours.


Major Responsibilities

Operation

  • Oversee the management of the office including the colleague shared area called “Work café”.
  • Responsible for managing the office and staff welfare budgets in conjunction with P&C and Finance.
  • Demonstrate our brand values and ensure a positive office environment and a meaningful and personal experience for all colleagues and guests that anticipates and exceeds expectations.
  • Ensure Winning Behaviour programme is kept at the forefront of the office culture and to ensure standards are met, with the support of the Office Committee.
  • Track utilisation of the desks to help adjust the office space and agile working with the support of P&C.
  • Coordinate, in conjunction with the IT & Technology Team, office related work including equipment maintenance, air conditioning, telephones and photocopiers.
  • Ensure office is compliant with Health & Safety at all times: (Fire) risk assessment, PAT testing, electrical wiring testing etc.
  • Ensure Fire wardens and First Aid Colleagues are appointed and kept up to date in conjunction with P&C/ L&D.
  • Coordinate MOve In Orientation and ensure relevant materials are kept up to date for new joiners.
  • Ensure Office Colleague Handbook and Office Manual are kept updated and available together with Office Committee and P&C.
  • Coordination and set ups for additional events and meetings throughout the year.
  • Coordinate with the IT & Technology Team, IT training for meetings booking and technology use in the meeting rooms.

Wellbeing and Colleague Events

  • Lead and arrange corporate external events, such as volunteering, workshops focusing on culture, teamwork and wellness.
  • Work on the continual development of colleague engagement with the Winning Behaviours programme by accelerating energy and passion within the office.
  • Together with the Office Committee enhance the workplace community through regular events relating to community, wellness, food and beverage as well as developing events to create wow moments such as Seasonal themes: Halloween, Christmas, Chinese New Year, Easter etc.

Cleaning, Maintenance and Security

  • To be the key contact with all office suppliers, including the landlord, building reception and cleaning company, as well as manage/arrange ad hoc cleaning duties.
  • To be the key contact for suppliers for kitchen and certain office equipment - including Oktra; Kitchen and Water and lifestyle area products (coffee/tea and daily fruits).
  • Frequent checks of kitchen equipment and facilities to ensure safety and prevent loss of equipment due to negligence or wear and tear.
  • Management of access control cards for colleagues and visitors.
  • Locker management (daily and long-term lockers).
  • Manage a team of 2.

People & Culture Services

  • Handle day-to-day P&C operations including but not limited to headcount requisition, candidate sourcing, employee onboarding support, employment document preparation, benefits management, colleagues’ mobility, leave management and colleague data management.
  • Arrange long service awards for Corporate and Hotel colleagues.
  • Support and perform other ad hoc duties as assigned.

Role Specific Competencies

  • At least 5 years of experience in running general office operations and colleague engagement & experience.
  • Excellent interpersonal skills with the ability to communicate with colleagues at all levels.
  • A proactive and flexible approach with the ability to adapt to changing conditions and priorities and to work in a collaborative team environment.
  • Ability to prioritize tasks deadline and provide high quality service to colleagues and visiting guests.
  • Maintain an active awareness and understanding of global workplace trends, innovations and opportunities.
