Ready to join us? About this opportunity It would be the hybrid role with 30% focus on logistics and 70% focus on admin. The candidate should experience with extensive operational and process improvement know-how, covering logistics/shipping, customs clearance, and domestic distribution. Also, the candidate will need to assist the supervisor about the office admin and relevant event supports.
In this role, you will… ESSENTIAL DUTIES AND RESPONSIBILITIES Logistics – 30%
- Understand and navigate through complex and challenging local customs, tax and distribution landscape
- Implement all service/billing/logistic aspects highlighted in the distribution contract
- Prepare Aligner inbound documentations such as Purchase Order, Commercial Invoice
- Provide daily inbound receiving reports for warehouse/ Monthly Delivery order (POD) Filling
- Resolve shipping and distribution related issues and feedback from vendor
- Inbound/outbound shipping status monitoring
- Declaration
- Handling requests from Sales Team
- iTero (medical devise) on loan backup support/Billing check
- Strong inventory control and follow up on deliveries for products and marketing materials
- Support and follow up on logistics related projects
- Event support
- Warehouse contract review
- Assisting W.H quarterly stock take/forecast
- Placing office necessity order: Stationery, Water, toner, pantry stuff or any other office necessities
- Handle incoming phone calls and greetings incoming visitors
- Deal with different vendors in related to office equipment’s maintenance
- Contact service vendors for maintenance – photocopier, broadband, water machine, carpet cleaning, air-conditioning
- Handle Incoming and outgoing mails
- Assisting IT team for office IT support eg (accident: Internet/ Wifi down handling / Onsite event trouble solution support (audio)
- Office expenses invoice consolidate and checking with Finance
- New hire on boarding
- Assisting MKT Promotion materials souring/ordering
- Assisting and handling oversea speakers to HK eg 1)Visa 2)Airport transfer 3) Accommodation
- Assisting with pre-conference preparations, such as system setup and meal arrangement
- Assisting with arrangements for foreign colleagues coming to the country, including hotel accommodation, transportation and personnel logistics.
- Assist in ad hoc functions and other task assigned.

- Contract Renewal (ARIBA)/legal review PR/PO/Vendor management (ARAVO)
- Comply with all safety policies, practices and procedures.
- Report all unsafe activities to Manager and/or Human Resources.
- Participate in proactive team efforts to achieve departmental and company goals.
- Perform other duties as assigned.
- Optimizing office processes and operations.
- BA/BS degree in Business Management, Logistics or Supply Chain or equivalent practical experience
- 2-3 years of experience in the logistics industry or in a similar role
- Strong knowledge of ERP systems is essential (SAP experience is a definite advantage)
- Strong critical thinking, analytical and decision-making skills
- Strong communication skill of internal and external customers
Language Skills
- Fluent Cantonese, English (spoken, written, reading) and Mandarin
- Strong interpersonal, listening and persuasive communication skills.
- Dynamic, optimistic, accurate, results oriented, hard-working, creative.
- Dependable and attention to detail.
- Willingness to learn.
- Good team player.
- Good knowledge of basic computer operations and Microsoft Office tools.
